How We Handle Outgoing Email & Spam Protection for SWS Clients

The new server setup uses a different way of handling email. We are now using an outgoing email service that monitors all outgoing email for policy and spam. This is designed to stop or slow the spread of spam.

Think of it as reputation management for outgoing email. Historically, when you sent an email, it was usually routed through your ISP. The problem with that is spammers were able to spoof emails, making them look like you sent them. The new way is that all email is routed through these services. This is a premium service, but one we are confident will deliver measurable value for our clients.

This service will handle all outgoing email, managing whitelists, blacklists, spam filtering, and malware filtering.

They also handle throttling the flow of outgoing emails, so you don’t get blocked for sending too many emails at once.

As we quickly found out, a service like this is a must for a new server with no reputation for sending emails.

Email throttling controls the rate at which outgoing emails are sent from a server. If too many emails are sent in a short period of time, receiving mail servers may block or flag the sender as a spammer. Throttling prevents this by spacing out the flow of outgoing messages, protecting your email-sending reputation and ensuring your emails get through.

A whitelist is a list of approved email addresses or domains that are always allowed to send or receive mail. A blacklist is a list of addresses or domains that are blocked due to known spam or malicious activity. Our email service actively manages both, helping to ensure that legitimate emails are delivered while spam and malware are stopped before they reach your inbox or leave your server.
